Tips for Successful Corporate Event Planning

Tips for Successful Corporate Event Planning
A successful event doesn’t just happen overnight, it needs a clear objective, planning, and dedication. Whether it is a birthday party, conference, a ceremony or a seminar, your event’s success depends upon the dedication you provide. Organising a corporate event that is informative yet is enjoyable for the attendees can be a daunting task. Not until the actual planning and execution do one realise that there are many things to consider about, from the fold of the napkin on a table to sound systems to decorations to foods and beverages.
Here we bring you the tips for successful event planning.

1. Audiences the most important factor in an event. While planning a corporate event, you need to decide on the target audience. If you are planning an electronic gadgets’ launch event, you need to call upon the tech industries audience. Knowing your target audience will help you achieve your specific goals and objectives and also remain focused on the event.

2. Detail is the key, make a shortlist of details, from the fold of the napkins to lighting to parking facility to content and refreshments. Every detail matters. Audience tends to notice everything including good and bad aspects of the event and will attribute everything to you and your brand.

3. Have a clear goal in mind, a clear business purpose for holding the event. Before starting to plan an event, a planner needs to be clear about what the event is about. If you are hiring an event planner you need to brief them extensively about the event details because every decision after that should support your main goal. And make sure everyone involved is aware and clear about the “GOAL”.

4. Budget is important. Keep a tight budget, but be flexible where you need to spend. Don’t overpay. Set up a healthy margin.

5. Pick out a theme. As most corporate events tend to be fancy and theme oriented, you may want to pick out a theme that defines your event. For example, a renaissance ball type theme for a fundraising event, recently “La La Land” the musical movie party’s theme was lighting the world alight. When picking out the theme, just remember to keep the main objective of the event in mind and make sure the theme doesn’t distract from the “Goal” of the event.

6. Choose a smart date. Do an extensive research on the calendar and pick out a smart date. Make sure your event date doesn’t collide with the holidays or popular vacation season. No one wants to attend your event when they are waiting for the much needed vacation. And don’t pick out a colliding date with another popular event, this can affect your attendance record.

7. Choose a venue. A venue perfect for the event is as important as the event itself. No one wants to attend an event which is not easily accessible and is not around the proper location. Visit the venue yourself, imagine it in your theme setup with guests. Don’t book the venue until and unless it meets your needs.

8. Social Media. Modern day has brought quite a few changes, major ones at that in the world of marketing. People tend to believe more what’s on the internet than any other thing. We spend more time on the internet than talking to each other. Conventional marketing is still important, but you need to use the power of social media to reach a greater no.of audiences. Host an event tab on social media, create pages, and host a YouTube channel where you can promote your event through influential speakers.

9. The royalties! I don’t mean the real royalties but the sponsors. They are the real royalties. They are the ones who fund your event, and it’s because of them that you are able to host it. Treat them as such, and be very clear when proposing the event what they will get as sponsors.

10. The voice. Pick out a good speaker for your event, the one who understands your goal. Good speakers are the element that make your guest interested in your event. Nobody wants to listen to a lousy and boring speech throughout the day. Pick a powerful one with the clear voice and leadership skills who can drive the crowd forward.

11. Bible. Create an event bible where you can log every single detail about the event like contact details, pricing, guest lists, food and beverages. Make it something that you can call upon if ever needed. It can help you keep tabs on the event structure and also you will be able to get involved in the event directly.

12. Service is crucial. Put out a separate table where guests can attend if they need to consult about anything.

13. Final, give a good show. That’s what all guests want. Don’t bore them with technical talks and jargon. Yes, it is a corporate event but nobody wants to be technical the whole event. Pepper some humorous stuff in between the main talk/speech, add a dash of personality and don’t forget to make it relatable. This is important because one of the objectives of any corporate event is to successfully make a connection with the guests. So, make them feel like they would want to attend all your future events.
